What an AI HR assistant does
An AI HR assistant answers employees' questions about leave, benefits, pay dates and company policy using only the content your HR team has approved, and every reply points to the page it's based on. If something calls for judgment, discretion or a decision, it brings in a person from HR.
What it's like to work for you, with HR one message away
Marlowe Hotels runs 28 hotels in the United States and Canada, with about 2,400 people on every kind of shift. Diego is a front desk supervisor at the Toronto hotel. He works nights three times a week, and his questions rarely come up during office hours.
Monday, 11:40 pm: it already knows where he works
Between check-ins, Diego opens the HR chat in Microsoft Teams. It shows what matters to a full-time employee in Ontario: benefits enrollment closes Friday, and the statutory holiday schedule for his province is out. Nothing about the Florida hotels' rules.
Tuesday, 2:15 am: the Ontario answer, with the page to prove it
His partner is due in March. Diego asks how much parental leave he can take. The assistant answers from Marlowe's Canadian leave policy, not the US one, and links the exact section.
Wednesday, 10:20 am: he takes care of it himself
Diego asks how to add the baby to his health plan once she arrives. The assistant walks him through the steps from HR's benefits guide, including the 30-day deadline and which document he'll need, and links the benefits provider's page where he'll do it.
Thursday, 1:05 am: a question the policy doesn't settle
Diego has vacation days left and wonders whether they carry over if he starts leave in March. The policy doesn't cover that case, and the assistant says so rather than guess. It offers to send the question to HR, and it reaches the HR advisor for Canadian hotels with his question, location and the policy section already attached. Her answer arrives by email the next morning, and his chat shows the question as answered.
Friday, 12:30 am: something he'd rather not say out loud
A comment from a manager has been bothering Diego all week. He starts typing about it. The assistant doesn't try to answer. It tells him this goes to a person on the HR team, privately, and asks whether he'd like a reply by email or in Teams. His message goes to a queue only two people in employee relations can open, and he gets a confirmation that it arrived.
The following Monday: HR looks at what employees asked
Marlowe's HR team reviews the week's questions the assistant couldn't answer. Carryover during parental leave came up from four hotels. They add it to the leave policy, and the next person gets the answer at any hour.
What your employees can do
Get answers for their location and role
When your HR pages are labeled by country, state, province, role or employment type, answers match the person asking. A part-time employee in Texas and a full-time supervisor in Ontario each get the rule that applies to them.
Check the source themselves
Every answer links the policy or guide behind it, so employees can read the full wording before they act.
Handle the next step on their own
The assistant walks people through requesting leave, updating benefits or finding a pay statement in the systems you already use, with links to the right place.
Raise a private matter with a person
Concerns about conduct, health, pay disputes or anything personal go straight to a person on your HR team, in a queue that only the people you choose can open. The assistant doesn't try to answer them.
Ask wherever and whenever they are
Slack, Microsoft Teams, web chat or email, on any shift. Questions HR picks up show their status.
What your HR team gets
The routine questions that fill HR's inbox get answered from your approved pages, day and night. The ones that need a person arrive in HR's shared inbox with the employee's location, role, question and the policy the assistant checked, sorted into queues by country, topic or team. Sensitive matters land in a restricted queue with field-level permissions. Reports show what the assistant couldn't answer.
What changes when HR answers this way
Employees stop getting the wrong country's policy. Answers come from pages labeled for their location and role, so the rule they read is the one that applies to them.
Night and weekend staff get the same HR as the head office. The assistant answers from approved pages at 2 am just as it does at noon, inside Teams, Slack or email.
Private matters reach a person, never a bot. Sensitive topics skip the assistant's answer and go to a restricted queue, so employees can speak up with confidence.
Your advisors start with the full question. Every hand-off carries the employee's details and the policy already checked, so the first reply can settle it.
Your policies get clearer every week. Unanswered questions show HR exactly which line to rewrite, and the fix reaches everyone the next time they ask.
An assistant HR stays in charge of
The assistant answers only from content HR has approved and names the source every time. HR picks the subjects that skip straight to a human. It won't change anyone's pay, leave balance or benefits. Handing a question to HR happens on the terms you set, with a record kept of each one. What employees hear is your team's decision.
How to build your AI HR assistant
- Gather your HR content. Connect the handbook, policies and benefits guides you keep in SharePoint, Google Drive, Confluence or Notion, or add them directly.
- Label what varies. Tag each page by country, state or province, role and employment type, so answers match the person asking.
- Connect your employees. Link your identity provider so people use their work login and the assistant knows each person's location and role.
- Choose what always goes to a person. List the sensitive topics, set up the private queue and decide who can open it.
- Open the channels. Add the assistant to Slack, Microsoft Teams, web chat and your HR email address.
- Start with one group. Launch at one location, read what people ask, fill the gaps, then roll out.
Works alongside your HR stack
The assistant lives in Slack, Microsoft Teams, web chat and your HR email address. It reads your handbook and policies from SharePoint, Google Drive, OneDrive, Confluence or Notion. Translation with human review serves multilingual teams, single sign-on keeps it to your people, and other systems connect through webhooks, the API or an MCP server.
